It estimates what you actually keep from a sale once every major cost is deducted: cost of goods, shipping, Shopify's transaction fee, payment processing, app fees and any other charges you carry. That gives a far more honest picture than looking at revenue alone.
The transaction fee applies only when you take payment through a third-party gateway instead of Shopify Payments. The rate depends on your plan, currently around 2% on Basic, 1% on Grow, 0.6% on Advanced and 0.2% on Plus. Assuming every order carries this fee is the most common mistake, and it produces numbers that are too pessimistic.
The processing fee is what the card network and payment provider charge to move the money, typically a percentage plus a fixed amount per order. The transaction fee is a separate charge Shopify applies purely for not using Shopify Payments. If you use an external gateway you pay both, which is why routing around Shopify Payments is usually more expensive rather than less.
On Shopify Payments in the US, online card rates are roughly 2.9% plus 30 cents on Basic, 2.7% plus 30 cents on Grow, 2.5% plus 30 cents on Advanced and 2.25% plus 30 cents on Plus. On a $100 order on Basic that is $3.20. Card-present sales through Shopify POS are charged at a lower rate.
Yes. Taking payment through PayPal, Stripe or any other external gateway triggers Shopify's transaction fee on top of that provider's own processing charge. On Basic that means roughly 2% to Shopify plus whatever your gateway takes, so an order can carry close to 5% in combined fees.
Yes. Card-present transactions through Shopify POS carry lower rates than online orders, because the fraud risk is much lower when the card is physically tapped or inserted. Expect roughly 2.6% on Basic in person versus 2.9% online.
No, deliberately. The subscription is a fixed monthly cost rather than a per-order one, so folding it into a single order would distort the margin. To account for it, divide your monthly plan cost by your monthly order volume and treat that as an additional fixed cost per order.
If you charge customers for shipping, add that to your sale price, since it is revenue. The shipping field here is what the shipping actually costs you. If you offer free shipping, leave the sale price as the product price and enter your real carrier cost.
It varies by category, but many direct-to-consumer brands aim for 20% to 30% net on an order before advertising. Anything under 10% leaves almost no room to acquire the customer profitably, since paid acquisition then consumes the entire margin.
Use Shopify Payments where it is available, since that removes the transaction fee entirely. Review app subscriptions for anything charging a percentage of revenue. Upgrading plans lowers the processing rate, so at high volume the higher subscription can pay for itself. Raising average order value also helps, because the fixed 30 cent element shrinks as a share of a larger order.
Because the fixed portion of the processing fee does not scale. Thirty cents on a $10 order is 3% on its own, before the percentage rate is applied. That is why free shipping thresholds and bundles matter, and why very low-priced single items are hard to sell profitably.
